Get the display plan approved
Ask the protocol contact to confirm the participating countries, exact national designs and any organisational flags. Request a labelled layout showing the audience’s viewpoint, the speaker position and each flag’s intended location. A drawing avoids confusion over whose left or right is being described.
Confirm whether the flags are for a stage, a meeting table, a reception area or an outdoor installation. If there is a ceremony, have the organiser identify who will handle the flags and how the display will be checked beforehand.

Keep national designs accurate
Check each country’s current design and official proportions before printing. National flags do not all have the same aspect ratio, so a standard commercial fabric size should not automatically be used for every country in a formal display.
Send an approved reference where a flag contains an emblem or detailed symbol. Ask for an artwork proof that identifies the front and reverse, colour arrangement and mounting edge. Do not modify a national flag to accommodate a sponsor logo.
Specify the material in the approved brief
The material options at The Flag Store UAE are 130D knitted polyester, 150D double-sided print, 200D micro polyester and double-sided satin. The 150D double-sided printed flags are imported and available in limited quantities; confirm the country, size and stock before ordering.
The protocol contact should approve the material for each setting. Confirm the required countries and matching sizes before choosing an imported limited-stock option. For a presentation display, double-sided satin may be considered where permitted by the approved specification.
Use official UAE guidance for the UAE flag

A decorative satin flag should not be assumed to meet a formal ceremonial fabric specification. Discuss the intended use and obtain written confirmation of the required material. For national positioning and flag order, use the organiser’s approved plan and applicable official guidance rather than a generic product diagram.
Check the kit before the event
Inspect the pole finish, base, sleeve fit and available height. Assemble the intended setup in the venue or check it against accurate measurements. Confirm that the fabric hangs as expected and that the display does not obstruct walkways, speakers or equipment.
Have the organiser sign off the labelled layout and inspect the final placement. Keep the approved country list and artwork accessible in case a replacement is needed. For outdoor installations, arrange an appropriate installation assessment rather than relying on a portable indoor stand.
